Last updated: 16 July 2026
ALM HRIS is an employee portal used for HR, attendance, leave, payroll, salary slips, employee documents, notifications, and related workforce administration. This policy explains what information is handled by the portal and how it is used.
Information We Collect
- Employee profile information such as name, employee code, CNIC, designation, department, joining date, contact details, bank details, and emergency contact details.
- Payroll and salary slip information such as salary month, earnings, deductions, net salary, and salary slip documents.
- Attendance and leave information such as check-in/check-out time, leave requests, approval status, and attendance history.
- Location information only when an employee marks attendance using the mobile or web portal and allows browser location access.
- Device or biometric attendance machine information when attendance is synced from approved ZKT attendance devices.
- Uploaded HR documents and employee profile photos where provided by HR or the employee.
- Login and security information required for authentication and authorized access.
How We Use Information
- To provide employee self-service access to salary slips, attendance, leave, documents, notices, and HR profile information.
- To allow HR, managers, and administrators to manage employee records and approvals.
- To verify attendance and support HR reporting.
- To protect access so employees can view only the records they are authorized to access.
- To maintain payroll, compliance, audit, and operational records.
Location Data
Location is collected only when an employee marks attendance through the web or mobile portal and grants location permission. Location data is used for attendance verification and HR reporting. If location permission is denied, the attendance record may show that location was not provided.
Data Sharing
Employee data is used internally for HR and workforce administration. Data is not sold. Access is limited to authorized users such as the employee, HR, managers, and administrators according to their role.
Service Providers
The portal uses Firebase and Google services for authentication, hosting, database storage, file storage, and cloud functions. These services help securely operate the application.
Security
We use authentication, role-based permissions, Firestore security rules, Firebase Storage security rules, and protected file access to help prevent unauthorized access. Employees are intended to access only their own records unless a higher role grants additional access.
Data Retention
HR, payroll, attendance, and document records are retained as needed for business, legal, audit, and employment administration purposes. Salary slip records may be retained according to the company retention settings.
Your Choices
Employees may contact HR to request correction of inaccurate profile data or to ask questions about records available in the portal. Location access can be controlled through browser or device permissions.
